Overview

This position carries out responsibilities in the following functional areas: onboarding, recruitment / employment, employee relations, training, performance management, policy implementation, and will support the Orlando, WP, and NTC HR teams with administrative tasks. Proof of covid vaccination required

Responsibilities

General

  • Support HR teams in Orlando and WP as needed for secretarial and administrative tasks; i.e., copying, filing and computer related needs including Word, Excel and PowerPoint.
  • Maintain and update employee personnel and benefit files on the ADP Document Cloud. Follow up as needed regarding missing or outdated documents (including annual distribution of Conflict of Interest forms) so as to be in full compliance regarding required documents for all HR employee files.
  • Other such related duties as required.

Recruitment

  • Prepare drafts of offer letters for all USTA staff including updated job description.
  • Manages new hire packets in icims, maintains electronic documents and handles e-mailing of packets as requested.
  • Support Director, HR and Sr. HR Manager with arranging and coordinating interview scheduling with candidates and hiring managers.

Onboarding/Employee Relations

  • Conducts background checks on all new hires and reports results to the appropriate manager; assists in managing the vendor relationship with background check screening company.
  • Assist with the coordination of Onboarding program for all new hires by scheduling new employee onboarding meetings with various departments throughout the USTA as well as support Director with the onboarding sessions and coordination with department heads.
  • Manages Family News page of intranet and posts all new hire announcements, birth announcements, in memoriam, employee departures and other timely news.
  • Records and manages the attendance records for 5L2 staff; Alerts appropriate person of discrepancies, corrections, and follows up as appropriate to obtain information in a timely fashion.
  • Works closely with Director, HR and Sr. HR Manager and hiring managers to update position descriptions ensuring that positions are accurate portrayals of the actual jobs and are in compliance with all legal requirements.

Major HR Duties – for Managing. Director

  • Track the receipt of PDPs and provide updates of missing documents.
  • Produces annual incentive survey questionnaires for USTA Board members and ICP raters.
  • Oversees annual updates to USTA employee handbook and ensure copies are distributed to all staff
  • Coordinates and manages charitable drives for local and national agencies.
  • Ensures compliance with SafePlay initiatives as regards to completion of required training for newly hired staff as well as biennial background checks.

Qualifications

  • 2-5 years of work experience in an Administrative support role. Human Resources is preferred.
  • Must have strong working knowledge of Google Suite, Word, Excel and PowerPoint, ICIMS and ADP experience preferred, database experience a plus.
  • Position requires access to and work with confidential information and documents.  Individual must maintain that confidentiality.
  • Planning/organizing. Position requires efficient time management skills and the ability to prioritize and plan work activities.
  • Quality control—the individual demonstrates accuracy and thoroughness and monitors own work to ensure quality.
  • The position requires work with several staff members and an individual who can adapt quickly and easily, can manage and prioritize competing demands and is able to deal with frequent change, delays or unexpected events.
  • Position requires dependability, arriving at work and on time, attention to detail and ability to respond to management direction.
  • Represent Human Resources department at the National Campus to ensure a collaborative team and customer focus culture.
  • Position is non-exempt.
