The Role 


The overall purpose of the Operations Coordinator position is to provide crucial support to the Operations Manager within the Chief Executive's office, playing a central part in ensuring the seamless execution of operational activities, contributing to the overall success of the Chief Executive's office and projects involving the CT Leaders

Operational Support:

  • Partner with the Operations Manager to streamline day-to-day operations and implement efficient processes.
  • Utilize USTA templates for monthly reports, board documents, and correspondence to Sections. Create and edit various documents with precision, ensuring consistency with organizational standards.
  • Monitor and manage office supplies, inventory, and procurement processes.
  • Collaborate with internal and external stakeholders to streamline operational processes and enhance efficiency.
  • Assist in monitoring and managing budgets related to operational activities, reporting discrepancies, and proposing corrective actions. 
  • Assist in managing executive calendar, scheduling appointments, and coordinating meetings, including preparing necessary materials (pre-reads & meeting summaries).
  • Facilitate communication within the office and with external partners, ensuring a prompt and professional response to inquiries.
  • Arrange travel itineraries, accommodations, and logistics, ensuring smooth travel experiences.
  • Prepare correspondence and create reports and manuals using Google Suite.
  • Contribute to the development of training manuals.
  • Managing vendor relationships, including entering into new and maintaining existing agreements in coordination with the legal department, tracking services rendered, and processing invoices.
  • Responsible for all administrative details pertaining to meetings, workshops, special events, and office operations.
  • Assist in event planning and coordination for both internal and external activities such as meetng  and conferences.
  • Research related products or business segments

Who You Are

.To be successful in the role of Operations Coordinator, the candidate should possess a combination of skills, experiences, and personal attributes that align with the diverse responsibilities of the position. Here are key qualifications that would contribute to success:

  • Minimum of 5 years of experience working in a professional office or corporate environment, preferably supporting executives.
  • Proven ability to manage tasks with precision, ensuring accuracy in all operational activities.
  • Strong attention to detail with the ability to produce accurate and high-quality work.
  • Strong proficiency required in using office software (Microsoft Office Suite, Google Workspace), and other relevant tools. Familiarity with project & calendar management tools are essential.
  • Demonstrated professionalism when dealing with executives, clients, and colleagues.
  • Excellent organizational skills
  • Proactive and self-motivated, capable of taking initiative and anticipating the needs of the executive team.
  • Ability to create and edit various documents with precision, ensuring consistency with organizational standards.
  • Exceptional organizational and multitasking abilities, capable of managing multiple priorities and deadlines.
  • Ability to adapt to a fast-paced work environment and handle unexpected changes or challenges.
  • Excellent written and verbal communication skills, maintaining a clear and concise communication style.
  • Demonstrated ability in organization, planning, coordination, and data management
  • Maintain a high level of discretion and confidentiality when handling sensitive information.
  • This position is designated as "hybrid/flex" in Orlando and may allow for both remote and on-site work.
  • Position is considered non-exempt

The expected range for the base salary for this position is $42,000- 50,000 with paid overtime. This range does not include any additional pay or benefits for which a person may qualify. The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills, and the location from which they will be performing the job.
