The Role

 

This role reports into the PMO and provides high-level support to Digital leadership, specifically the MD, Head of Digital Strategy, and the Sr. Director, Digital and Business Strategy. The objective is to maintain seamless operations by handling high-complexity coordination, including travel, expenses, and managing schedules with senior management and outward-facing partners. This role will also act as a partner to the Finance and Technology Executive Assistant to ensure consistent department operations.

 

Logistics

  • Manage complex calendars and coordinate logistics for meetings and conference calls.
  • Arrange comprehensive travel itineraries and accommodations to ensure smooth travel experiences.
  • Prepare materials for meetings, including pre-reads and meeting summaries.
  • Act as a professional point of contact for senior management, internal, and external partners to facilitate collaboration.
  • Handle document preparation and reporting with close attention to detail.

Finance and Operations 

  • Manage department budgets and process travel and expense reports.
  • Coordinate with the Legal department to manage vendor agreements and process invoices, purchase orders (POs), and maintain contracts.
  • Monitor services rendered to ensure accuracy in invoicing and departmental spend.
  • Handle general office activities and supply orders to ensure operational efficiency.

Interactive Meeting Support

  • Facilitate the technical aspects of interactive meetings, such as managing breakout, Q&A sessions, and live polling to drive engagement.
  • Provide light administration of team boards in Monday.com to help track department priorities and deadlines.
  • Coordinate post-mortem deliverables.

Team Coordination and Hospitality 

  • Coordinate logistics and hospitality for team gatherings, including off-sites, workshops, and team-building sessions.
  • Manage the selection and procurement of team apparel and tokens of appreciation to support organizational morale and transformation efforts.
  • Oversee the hospitality requirements for group meetings to ensure a professional and welcoming environment.
  • Maintain seamless operations while actively facilitating team engagement and trust.

  

Who You Are

  • Experience: Minimum of 3 years of experience in a professional corporate environment supporting leadership.
  • Communication: Excellent written and verbal communication skills with a clear and professional style.
  • Professionalism: Discretion and confidentiality in handling sensitive information.
  • Adaptability: Ability to manage multiple priorities and anticipate the needs of two leadership offices within a shared service model.
  • Technical Skills: Proficiency in Microsoft Office Suite and Google Workspace. Ability to learn and manage interactive tools and project tracking software.
  • Available to work 9am-5pm, Monday-Friday; This position is designated as "hybrid/flex" and requires 3 days in-office per week.

  

What We Offer

 

The expected pay range for this position is $20.00 - 23.00 per hour. The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills, and the location from which they will be performing the job.
