The Role

 

The Administrative Assistant serves as a centralized administrative resource for the CEO while also providing administrative support to the Managing Director.

CEO Executive Support

  • Manage and maintain the CEO's calendar, including scheduling meetings and coordinating logistics.
  • Coordinate domestic and international travel arrangements, itineraries, and related travel materials.
  • Prepare and submit expense reports and reconcile corporate credit card transactions through Concur.
  • Coordinate virtual and in-person meetings, including preparation of agendas, materials, and related documentation.
  • Track follow-up items and assist with administrative coordination.
  • Maintain the CEO's office environment, ensuring the space remains organized, professional, and ready for meetings and visitors.
  • Maintain confidentiality while handling sensitive information and records.

Administrative Support – Managing Director

  • Assist with calendar coordination, travel arrangements, expense reporting, meeting logistics, and administrative follow-up activities.
  • Assist with the preparation and distribution of materials, communications, and related documentation.

General / Other

  • Provide general administrative support to USTA Coaching staff and initiatives as assigned, including team gatherings, team recognition efforts, invoice and purchase order processing, shipping, office supplies, etc.
  • Perform other administrative duties as assigned by the CEO or Managing Director, Head of Business Development & Operations, USTA Coaching.

  

Who You Are

  • Minimum of 3–5 years of experience in an administrative assistant, office coordinator, executive support, or similar role.
  • Experience managing calendars, travel arrangements, expense reporting, and meeting coordination.
  • Proficiency in Microsoft Office Suite, Google Workspace, and Concur (or similar expense management systems).
  • Strong organizational, communication, and administrative support skills.
  • Ability to manage multiple priorities, maintain confidentiality, and exercise sound judgment.
  • Position is considered non-exempt.
  • This position is designated as "hybrid/flex" and may allow for both remote and on-site work. Any such position must meet the current USTA hybrid/flex requirements as updated from time to time. Please consult HR for the most current policy.

  

What We Offer

 

The expected pay range for this position is $ 20.00 - 23.00. This range does not include any additional pay or benefits for which a person may qualify. The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills, and the location from which they will be performing the job.
